Hie, my name is Rachel Langalanga, second year student at African leadership academy in Johannesburg, South-Africa
This is been a cracker. I work in the office of financial aid in our division of enrollment management. Here it's morning and my goal this afternoon is to ensure that you are as prepared as possible to complete the fasten. Complete the CSS profile and do everything necessary so that you have an on time actionable application. As soon as admissions tells me that you all have been accepted. So we're going to dive right in.

Typically because when I do these and person there two 2 1/2 hours long and I don't have that much time today. So I'm going to roll with this as quickly as possible. They have some wonderful screenshots set up behind the scenes for us so you can grab some websites an information to go through the process. A lot of this is directed toward our domestic students, although I know we have some international students with us this afternoon.
For international students, I want you to pay close attention when we're talking about the CSS profile, because that is the application you will use to apply for need based aid in swine.
So before we go any further, we're going to talk about just three real quick websites and the two forms that our domestic students complete to apply for need based day. If you not already started this process, and I know some of you may have been in our earlier summer session and know about the FSA ID or federal student aid ID.
And you obtain those if you don't have one at fsaid.ed.gov.
So both the parent who is helping the student complete the form and the student need their own FSA ID. It's very important mom dad.
I may have been guilty of this a couple of times in my life, but this is one thing you don't need to do for your student. You need to make sure that this is set up under their email and their credentials. If you create your students FSA ID with your own email address, we're going to have problems down the line, so make sure that the student has their own FSA ID.
Will use those to complete the Fasa, which is the federal application of free application for federal student aid. We're going to show you a screenshot later in the presentation, but if you get into anything that asks you for a credit card to do the fast, if you're on the wrong site, so the facet is used for the first part of our need based aid application, and then the second piece of that is the CSS profile.
Again, international students. You're just going to do the CSS profile.
And the other quick tip I tell you about the CSS profile is if you have taken the essay T.
The logon credentials you used for the essay T.
Are the exact same to fill out the CSS profile. Another important piece of information. If you received a fee waiver for the essay T you use that same credentialing to log on for the profile and that fee waivers going to carry over to the CSS profile.
So some of the important things for most of our presentations are The Who, what, where, how ends wise.
And the first thing is who? As in who completes the forms? So it's typically a common question in our sessions, because we all have different families out there, everyone's unique an our situations are different. So in some situations it's the biological parents. One of those parents will get an FSA ID and they will assist the student in completing the fast, and so they'll include.
Their household information on the form.
Would have been the same for me would be the same for my step kids. All of those things we have blended families, so now we're trying to figure out who completes that. Fasa and CSS profile.
So the fast instructions are pretty clear. It says who did you live with the most in the past 12 months?
An I always, always always use. My family were kind of poster child for a lot of the different things that can happen, and in our case my son would use my information and his stepfather's information because he lives with us.
My 2 step kids live with their mother and their stepfather. So when their completing the Fasa they would use their mother and their stepfathers information.
In the event an we've had this question over the years.
Well, our student is a boarding school and we split 5050 the amount of time that they are not at school. So now completes the Fasa and again the instructions are clear in that form. Then person that would complete the fast so it would be the person who provided the most support. So if mom provided the most support for the student, she's the one that would complete the Fasa Ann. She would also include any.
New spouse that might be in the picture, so the facet is not take into consideration prenups or anything of that nature. If the parent that's filling out the FAFSA is remarried, their information needs to be on the form.
So why are we completing these two different forms?
First and foremost, if you want any type of federal student aid that would include the federal Pell Grant, which is a grant or a low income. Families does not have to be repaid.
You have to fill out the FAFSA.
If you want to participate in the federal work study program, the fast is the tool that allows us to determine your eligibility. If you're interested in using any of the federal student loans, again, the fax is required. Actually had a friend one time? Asked me? Well, I don't understand why I'm filling this out every year. They know we don't qualify for anything. I'm just taking out the loans well.
The faster requires you to do that annually, so even if you were not qualified for any other type of federal aid that you plan to use a parent or student loan, you still have to fill out the FAFSA each year.
Now the CSS profile Swanee uses that as our institutional application will use that to allocate Army base dollars to students is similar, but it ask the questions in a little bit more detail.
And it helps us on our end. Ensure that the data you provided on the Fasa that you didn't make a mistake, because sometimes we find that and sometimes that mistake you made when we corrected it. Take your favor. So we'd like to have both of those forms. We also found out that when we were doing our own separate institutional form.
Most of the students that applied this morning we're filling out the CSS profile anyway, so it made a lot more sense for them to just add our school code, submit the one form we get it electronically. Yes, back in the day, we did have paper forms and we send you that PDF and you fax it back to. So all of this is electronic. It makes it a lot simpler for everyone in the process, so those are the two forms that we need.
For first time applicants for us to determine their eligibility for any type of need based aid.
So When would you want to start completing those forms? While as far as I'm concerned, yesterday, just kidding. I'll tell you a quick little thing just to let you know how serious the Fasa deadline and when it opens takes place in my house.
My son called me from school.

Hi and thanks, Marty from Cincinnati, OH
And said Mom, I'm so sorry. I'm so very sorry. I know I waited till the very very last minute but I honestly don't think I made enough money last year to have to file a tax return.
Well, this was back in the day when our deadlines were a little bit different and it was the very last day of April.
Excuse me, I'm sorry it was the very last day of February and he was worried about his taxes.
Well, now he didn't make enough to have to file, but what he was remembering was our old financial aid deadline. That was March the 1st and he was afraid that he had not filed his taxes on time for March, the first because he grew up just hearing March. The 1st is going to be busy when that was our old deadline. I think I'm just going to let him think that March 1 is when you file your taxes so they will always be on time but.
October 1 now is when the fast actually opens each year, and that allows parents and students a little bit more flexibility. You're not rushed the way it was when it was back in January.
So if parents are on the line and you have older students doing this a few years ago, you had to wait till January and you would use the tax data for the year immediately prior. All different now and it ensures that our families don't have to wait till the very last minute to capture that information.
So if you haven't already filled out your faster for 2020, one 22 an as up today, we've received 179 of them already, so we're really excited about that. And we also gave a really cool treat basket to our first current student who was the only one who filed on October the 1st. So I'm just wanting to get treats. If you follow your fast on time.
So beyond that, getting a little bit more serious about it.
We are looking at those passes as soon as they come in. We're checking them to ensure that we aren't seeing any errors in the data that it doesn't look like maybe you got a little nervous as you were entering your adjusted gross income. Added an extra 0 to the end of it, so we're reviewing all those almost immediately once they start coming in.
So what we like to have happen is for students who are applying for their first year in Swanee.
Complete your forms by your admissions deadline.
So for early decision one that's going to be November 15th.
She had plenty of time to get everything together and get those submitted. The other thing it does if you do that on time is it ensures that most likely before Christmas and the holiday break we will be able to get information to our early decision candidates about their financial aid package. If you don't do it by November 15th, we can't necessarily guarantee that so early decision we want to complete your forms by November 15th.
Make it simple for you guys. It's the exact same deadline issued missions deadline, so do that by December the 1st.
And then for regular decision we need to complete those by February 1.
We will receive somewhere around 5 to 6000 passes for the year, and there are five people in the financial aid office, so the sooner we get him, the sooner we can review them, and the sooner we can turn around information for our families.
And I really did a job on the way I typed this one and see if I could read it with glasses, wow.

You can learn more about each admission deadline here: https://new.sewanee.edu/admission-aid/application-process/application-options-deadlines/
So just to give you a little bit more information about the 1000 the CSS profile. So you had this background.
The Pfaff said generates an index number or what is called an EFC that used to refer to it as an expected family contribution and that index number determines a families eligibility for the Pell Grant program and for all other federal need based aid.
Another reason the fax is so important for our Tennessee families, you have to complete the FAFSA to receive any of the Tennessee programs so that will be Tennessee hope that would be the General Assembly Merit program for students who are eligible for the Tennessee Grant. All of those require an annual Fasa submission.
No, you may ask about the Tennessee promise that is just for two year programs. So the Tennessee promise doesn't apply this morning, but you still have to fill out the FAFSA each year. If he were pursuing a two year program at a different school.
As I mentioned a little bit earlier, the CSS profile ask the questions a little bit differently. An one of the mistakes that I've been seeing on a regular basis for about three or four years now.
Is where the CSS profile they must do better job with.
The definitions they ask you questions about your retirement account.
And the Fasa asks you questions about your assets.
Retirement accounts are not included on the Fasa and what I've been noticing lately is that there will be a very significant amount listed in the asset section on the Fawesome.
An if you fill these out pretty close to the same time, then what I'm seeing is the exact same number.
Listed for your retirement account, it's a red flag for us. We reach out, we find out.
Did you really mean for that to be on the facet looks like it should not be there? You can understand pretty quickly how maybe an extra 100 two $1000 on a fast so could change your eligibility for a. So again, this is one of the reasons that we use the CSS profile.
The other important thing about profile and I bring this up because I almost hate to say 2020. None of us are having a lot of fun and a lot of reasons, and there's some very serious things going on out there for families. So the CSS profile allows you to also project. You're not just reporting on the calendar year 2019 like you do on the Fasa. You'll report that, but on the CSS profile.
You have an option to tell us what's going on in 2020.
There is also a section on the CSS profile that we've seen a lot of that used already for this current year and I anticipate will see an even greater increase next year.
There is a free form text question on the CSS profile and it allows you to let us know upfront about any special circumstances.
I took this role in the financial aid office in 2008 and by 2000 nine 2010 most parents out there will understand why I was questioning my sanity. We had a lot of families facing a lot of difficulties, and we know that's taking place now, so the CSS profile gives us an opportunity to collect that information on the front end and.
Maybe reach out, ask you some more questions, collects more information and see how we can assist you through this process. But that is one of the most important pieces of why we use the CSS profile.
We have some screenshots and I can't see exactly where the line right yet, but just gave you some screenshots of what the landing pages look like for both the Fasa in the CSS profile an if you're like me and like to take notes if not already done these on the fast, it's going to ask for school codes. You can report up to 10 school codes, and if you're applying to Swanee you wanna make sure that information comes to us.
3534 that's the school code for the Fasa.
And for the CSS profile, our school code is 1842.
So you'll need to make sure you put those in that form as you're going through it so that we get those results electronically.

You can find links to start the FAFSA and the CSS profile in our guide to Need-Based Aid: https://new.sewanee.edu/admission-aid/cost-financial-aid/need-based-aid/
Give you another little piece of insider information. Yes, we've received 179 passes not counted. The CSS profiles just yet. I know there there are software provider is in the process of giving us the final releases for the 2122 year, so I can't quite load them into the system yet. So if you were one of those people that did it on the 2nd and you wanted to call us and say Oh, by the way, did you get mine?
Can't tell you just yet. We could look it up, but that does require a substantial. It ends up coming to us in a text file honestly, and we have to import it into Excel and deal with all that be able to read all those numbers across the screen. So what you will see moving forward is when all of our systems are up and running and ready for the 2122 year on your applicant status page.
Taylor Baird
04:22:41 PM
Here is some helpful federal aid terminology and notes on how aid is calculated: https://studentaid.gov/complete-aid-process/how-calculated
We see that information over so that you will know when those items have been received by Swanee. So we do it twice daily feed to the applicant status page and you'll be able to see when those items have been reported in our system. So if for some reason you do it in two weeks later you gonna wait, well, no, it's not there. Don't ask us this first 2 weeks of October, give us until our software.
Invite her hands, the release ready but all that informational thing you'll be able to monitor it from your applicant status page.
A moving through this relatively quickly for a couple of reasons, I really want to leave time for questions and I also want.
Is honestly the most exciting part of how we do a It's morning?
So to give you some background, I've been working at the institution almost 34 years and 30 of that has been in the financial aid office, so when I first started we were meeting 100% of demonstrated need that did include self help, which we refer to as the loan portion and the work portion.
But more meaningful name Anne's whining like a lot of other schools got a little bit away from that. So last year our previous Vice Chancellor Doctor McArdle said we were going back an it was an exciting time for me again. This is how I started my career in financial aid. We were meeting the and being relatively new to the field and not in this position. I was just excited and it's like wow, look what we're doing.
For all the students that otherwise would not be able to come to swap.
So we're mad, we're needing 100% of demonstrated name.
And I think it's important to understand that process flow a little bit so that.
You have a clear picture of how this might actually be a reality for you, because I know that people look at the sticker price sometimes and think wait a minute. My child can apply there.
But with our generous need based aid with the the wonderful opportunities through academic scholarships, it really does make this a possibility for so many students.
So one of the things that put together last year and right now the chart that we have is showing you the current year.
'cause I don't have costs for next year. Yes, I do anticipate they will go up some what.
Typically that's been around 3%. Don't hold me to that. I have no crystal ball about what they're looking after the budget for next year, but as long as we're meeting need.
The budget goes up and you have many more need based aid will be increased. So the very first one of those columns and I'm going to go by memory because I really did, should have rented this on the larger the first one of those columns is showing a family with I believe about and 1000 plus expected family contribution on the fast so financial aid 101.
Is basically that the schools cost of attendance less the family contribution showed your demonstrated need. So if our cost is around 64 and your FC is 82, you do not qualify for need based day.
Gonna put a plug in here for next Monday session.
For a couple of reasons, it's going to talk to you about how parents and students navigate and what your rolls are in the application process, and then another session that you'll want to watch for will be when my colleagues from ambitious office talk to you about.
The academic or merit based scholarship application process. What goes into that? How they look at students for those, and how you apply for them.
I'll give you a quick tip apply for admission. That's going to allow you to apply for merit scholarships. The double enter.
Significant depth about what they're looking for with that so.
When I did my example, I decided that my student that was applying was.
A strong student and they were going to get it $26,000 academic scholarship.
By filling out the fast so all students are eligible to borrow a student loan in their own name.
Taylor Baird
04:27:34 PM
See upcoming Sewanee Sessions here:https://engage.sewanee.edu/portal/thesewaneesessions
Maximum for a first year student is $5500 now in this very first case, since the student is not eligible for need based aid, that loan happens to be unsubsidized, so it will be accruing interest while the student is enrolled.
And I'm not going to try and do all the math from memory, but you can follow that through to see.
Shiro Burnette
04:27:58 PM
You can find additional information on how Sewanee meets full demonstrated need here: https://new.sewanee.edu/admission-aid/meeting-full-need/
How the family contribution plays out. If the family has the student borrow in their own name, the parents are paying a little bit less.
The next column we actually added in for a state of Tennessee resident, so they filled out the fasten their eligible for that $3500 Tennessee Hope Scholarship the first year they could potentially also be eligible for the General Assembly Mirror, which is another $1000 talk briefly here about our friends in Georgia who Swanee has a Georgia 4 scholarship that is automatic for Georgia residents.
So if the student was from Georgia, in addition to the $26,000 academic award, they would also be receiving a Georgia 4 for $4000, further reducing the families out of pocket.
The next family there they actually had some demonstrated need. If you do the math our cost less the family contribution, but what you'll see is that that merit scholarship covers their need, so there is no additional funding there. For the student, it is very similar to the student who did not qualify for need based day.
We move on to the next two columns. There were now into student who has.
Sony, they stayed after that scholarship.
And you'll see that after we do the academic award.
The next case that we add to this puzzle is work study.
Currently students are first year students can earn up to $18150 on the year that allows them to cover some of their own personal expenses.
Taylor Baird
04:30:04 PM
Beth is walking through the chart on the current slide from left to right.
After that we will use the federal student loan, so we're going to use self help before we use Army base dollars. And to be very honest, that is to ensure that we can continue to meet 100% of demonstrated need. We want to ensure that we're able to do this so we're going going to use any federal and state options that are out there to stretch our dollars as far as humanly possible.
As we want those students that we've accepted to be able to enroll, regardless of the price tag. So after we've done that math and I'm going to let you guys look at it on the screen, and I'm not going to try and read this. 'cause this is really tiny. I did this like 3 frames to H so you see where we now come in with are need based brand and for some reason I'm great Tyler Taylor in shake your head. I was thinking that need based brand is around 19.
Something is that what that one is?
But the student with I think they got a $12,000 EMC.
Even Taylor's having to kind of sweat to see it.
You said big Mandt need based grant after the loan in the work.
So that's where are need based dollars. Come into this picture would be merit then.
The work study. Then the loan and then we will fill back filled with need based grant dollars had this question before. If it's a grant, do I have to repay it? No, you do not. No questions are silly. If someone has not done this before some of this language and the terminology we use might be a little bit difficult, or just something you've never heard us. So that's where we come in with are need based grant dollars.
And then the very last example just so you can understand how all of this plays out is a family that would have what would be a 0 EFC on the fax a. This is a family from the lower income bracket there Pell eligible, so we're using. The pal dollars were using if there from Tennessee or Georgia. We're adding in that Georgia 4 or the Tennessee hope.
We're doing work. We're doing loan, and then we're filling in with are need based funds. Think of Army base dollars. If you've heard someone talk about a last dollar in scholarship.
That's what are need based dollars are we're going to use all the other sources and then we're going to fill in the rest of that with our need based funds. So if you want to look at it the way most net price calculators would, they're looking at this what a family is out of pocket. So they would say that even the family who has the OEFC is paying said.
350 because student is working and they have alone.
Suana make sure you clear about the fact that we do use those now. On the flip side, what if you're applying for those outside scholarships out there?
So if you're applying for outside scholarships.
And we're meeting full need were constrained by a couple of rules from the feds in the state. So the very first thing we're gonna do with those outside scholarships you bring in his reduce or replace that one.
If you bring in more than $5500 in outside scholarships and you don't want to work while you're on campus.
You can bring in another $18150.
If a student who has need.
Brings in more than and these are all based on this year's numbers.
I alone will not change whether or not work study changes. I can't say that either at this point without knowing her budget numbers, but as long as you only brought in 7350.
Everything remains the way it is.
Once you brought in more than 7350, that's when we would have to start adjusting something else in the package are need based funds. The state funds federal, all those things change once you bring in more than 7350. If you need based student. So just to make that piece pretty clear on the front end. I've always approached this very realistically. I find that as long as we're clear.
And give you this information on the front end. There aren't any surprises on the back end which makes everyone happy in the process and I'll hop in and say so. I hope I didn't confuse anyone. I said the work study amount. So the yeah, the amount in the scenario that Beth asked me about this wanting need based Gift Aid. It was your right 19,305.
So for anyone, if you weren't following along on the chart and you if I confused you, I just wanted to make that clear.
Not that, but that really could not. Yeah, yeah, I did not want to contradict you. Had it where you can see it. But I hope that piece it was a piece we put together last year. We use that one. We could do this exciting things called in person visit.
We could hand it to family and let them see the options and how it might play out based on their individual circumstances. I also want to make sure that I really stressed this piece.
We know this is a unique year. There are not adjectives enough to describe what we've all been facing and what we're all trying to get through in this. So we know that the fact that the facet is looking at things like 2019 income. Wow, that's not my reality now.
We know that we know that's impacting a lot of families, so definitely make sure you fill out both pieces. The fast is not going to ask you anything about 2020. You can't go back and update it with 2020. You put that information into the CSS profile.
So just some quick tips and then I want to leave this time for questions here.
Make sure you ask questions. Make sure you feel your warm sound on time. The sooner you get the information to your schools, the sooner they can start processing and get information back to you.
They said earlier. Make sure that those apparent in the student have their own individual log on.
I will check your data entry is you're going through this years ago. This is how I've been doing it. People did it on paper. Well now you're typing that in and.
Wait is that where there was actually an extra 0 at the end of the adjusted gross income?
It impacts that greatly if you get to the end of the process and you've got this crazy number that you think is ridiculous and some of you may get a number that you think is ridiculous and the numbers are right.
Taylor Baird

Please feel free to chat in questions and we will relay them to Beth during Q&A!
But do go back and double check or when we can get in and look at it, give us a call. Ask us to look at it. Be happy to do that and see what is going on in. There was an error in the process.
Need based aid really doesn't have to be his frightening, I think is a lot of people make it. We all spend some time trying to learn as adults.
About the IRS tax code so that we can make good decisions. Knowing how this process works always helps families make good decisions. The other thing I would tell you that I find very helpful for our families. There's one other website an it is irs.gov.
Some of you through this process, and unfortunately it burns more of our lower income families because the governments try to make sure that you truly low income and eligible for Pell Grant. You will be selected for process called verification.
In that, the simplest way to complete verification is to use the IRS data retrieval tool embedded in Fasa.
Taylor Baird
04:39:22 PM
https://www.irs.gov/individuals/get-transcript
Not everyone can an. If you can't, I highly recommend going to the IRS. Individuals get transcript site. Go ahead now. Get that 2019 tax return transcript. If the student file for 2019 get one for them as well, put it in an envelope, but it in the folder you know. Put it on refrigerator wherever you need to put it so that.
If you're selected for verification and your school start asking for that information you already have it.
Because you don't wanna find yourself two or three days before a deadline. Trying to get the IRS to get that to you quickly.
So having it up front, we find that by getting families to do that, it really makes a world of difference in the event that you need to have that for verification purposes.
One other website I didn't list this one. This one's really very simple and you don't need to go to that until about November.
And if you are selected for verification, all the requirements and the information we need will be on that website. Students will be prompted to go ahead and set up their account when the time comes. Again, we have some software pieces that lag a little bit behind the feds on this.
But this will be a place where you can upload documents where you can E sign if your selected for verification and it really streamlines the process for you, so those would be the things that I want you to know. I know we've covered a lot, but I do like to leave significant time for questions.

Does Sewanee meet full need up to full cost of attendance for international students too?
Tasnimul Fahim
04:42:25 PM
Does Sewanee meet 100% of demonstrated need for international students?
Yes, we do have some questions. So clearly shiro and I are both. The opposition are offscreen helping manage some questions, so I'll be feeding those to Beth. There's one kind of easy when I'll pitch 1st of this wanting meet full need for international students to yes, international students that are admitted. Again, the process is different. You're going to use the CSS profile, but we are meeting full need for those students. You cannot have alone.
Obviously, through the federal government, but we do include work study options through institutional work for our international students who are need based.

Can Sewanee waive my css profile application as an international student?
And so I kind of stay in that Lane of working with international students, soak in Swanee, waive the CSS profile application for an international student if they're seeking aid. We do not live that there are built-in edits in the CSS profile. So for our domestic students who did that S80 and might get.
Automatic fee waiver. The other piece of the puzzle is that that CSS profile looks at the families resources and income, and they have built in waivers so the family is below a certain income threshold. They will automatically waive that for you.
Wonderful, so we have a question from a parent so if they have multiple children or a current child in college, can they add a child and sort of how does that work? If you are, you know reporting for multiple dependents, so when you go to do the fabs.
An I'm not had this personal experience because my husband's ex had to fill it out for two. I just had to do it for one. There is away in there Tored the end of it. You just gotta pay attention. It will ask if you need to complete this for another student. So what that will do is bring part of your information over. I believe that one takes place when the parent signs that fast. Electronically. Ann, you're doing that with that FSA ID information.

backtracking a bit...If i currently have a child in college, do we fill out fafsa as if we hadn't before. or is there an area to "add a kid" since all information but student's personal info will be the same? Thank you Maisyn's mom
And that's where it gives you an option to do that. And just for fun. And my team tells me I do not know what that word means. I'll look that up for you. And if we have, do we have contact information on the people who've asked the question? Yes, we do. OK, let me look that up for you and I'll get you a more definitive answer. We love that.
Yes, and that goes for everyone you know. If we can answer it here today or it is more tailored than we will work to get you that information.

You said that the work study goes to student personal expenses. What does that entail? Books?
So this one is a little maybe broad, broader answer. It's would depend on a student, I assume, but you said that work study goes to the student personal expenses. So what does that entail? Or I guess, what do students opt into? Perhaps using that funding for is it for books or living expenses? Most highly recommend you come to campus with money for books because you first pay period is not going to fall in time for you to have books that first week class.
So most of our students are using their paycheck to get paid once a month, and if they get tired of eating at the dining Hall, they can currently go to the locations in town. We know they need to pay stage shampoo. They need things like that. Well there at school so they can use that for whatever reason. They get a paycheck just like every other employee does. So now if you want them as a parent.
To go ahead and pay that toward tuition. That's between you guys, but this is their paycheck. They can use it. Some students save it so that when they get ready to travel at Christmas and holiday seasons that they have some extra funds to get home. So there they can use it for whatever they need.
Yeah, I think that's great. I'm just thinking of questions I've gotten from students in the past. You know, when we showed you that chart, so I just put that back up on the screen. It that 1850 for the work setting Max that it is important to note that you don't get that in full exactly. Yeah, so one thing that comes up periodically. We do have many students who had other jobs before they come to college. We also have students who've never had a job before they come to college and they're looking for us to just hand them that 1850.
And then you get paid for the hours that you work.
Work, study and alone portion. So if for some reason a student had other resources, a grandparent and uncle or someone who wants to assist the self help options are just that they are optional so student can decline the loans that can also decline work study if they feel like that that's not in their best interest, but it is an option for students to earn some spending money while they're on campus. The other thing that just like to throw out there.
We really tell you more about this later in the process, but for the parent portion.
There is a payment plan available, so a lot of families will use maybe the payment plan so that may be ready to write a check. Some of them are not or they want to do a partial check and then the rest on a payment plan. Some families venture into a parent plus loan, so there are other tools out there for us as parents to use in funding our portion of the educational costs.

What are examples of the work study jobs?
And then I don't know how in depth you want to go, but what are some examples of work study jobs for that process? I guess so lifeguard tutor at the elementary school working the circulation desk at DuPont library. We have students working in our missions. Office is Graters. We have students doing research and setting up labs in chemistry and biology. We have students working on the slavery.
Project we have. We have students in all manner of administrative, an academic.
Department's on campus may also have students working with the bottom program, which is a community service based program. So we have a multitude of different options on campus. We probably have about 500 an.
40 different positions and we may have, you know, ten students working. Circulation desk.
But we typically have about 480 students eligible for work each year, and if you are eligible then you know for the student you are, you're able to look through those open positions on campus and you actually apply for the ones that are of interest to you. So there is some intentionality of placing you drawable for work study and what that role is. So nothing to stress about right at this moment, but good to know for the for the future.
Alright, so I'm sifting through questions as I.
Feed them to you. I think this one might just be like a confusion point. So just to reiterate, so the question was, are we automatically considered first wanting financial aid when they complete the application?
It's like the regular common app. Or do we need? Oh, I see.
Freddy
04:50:05 PM
Are we automatically considered for Sewanee financial aid when we do the regular common app, fafsa, and css? Or do we need to then do a school-specific application to get aid from Sewanee
The comment box in CSS or do we need to then do a school specific application to get aid from swarming?
Allowed the common app and that alone.
Get you an application in for academic scholarships. My role for academic scholarships used to be literally the data entry clerk and now. Thank goodness with automation, those get posted automatically and we don't keep them anymore for need based aid and that is what my role is basically in this division. Need based aid you have to apply for admission.
And we have to have your facet in CSS profile for us to determine your eligibility for need based federal, state and institutional aid. And I think in even just educating myself about the process just like you're adding Swanee as a recipient school to your common app. Think of is that it's not quite as simple but with CSS profile and fast, if you're choosing to apply this line like best set, that's the most important step. And then.
You are going to follow up and send your financial documents to Swanee as well so we can do all that really in this sort of a simultaneous span of time.
So there's a question that says is the need based aid at Swanee or, you know, is that based on a first come first serve basis or on availability of funds, so I guess I kind of gets to our question of like how.
Probably already shared how how we package aid.
So because we've committed to meeting 100% of demonstrated need.
Ish
04:51:49 PM
Is the need aid at sewanee based on a first come first served basis or availability of funds?
Do not wait until April to fill out the FAFSA. At that point, I'll give you some really concrete examples here. Last year our budget for the incoming freshman class for all institutional aid.
That would be both merit and need based dollars.
Was a little bit under $10,000,000 for the first year class.
So a student who applies now for admission and waits till April to fill out any materials for need based aid.
There is a high likelihood because we don't know who's wanted. Well, so we go out with honestly about 2000.
Financial aid notifications.
And at one point I probably had something like.
$38,000,000 out in offers.
On a budget of 10,000,000.
So a student start making your decision to enroll and we get closer to the May 1 reply deadline.
Dollars could be scarce because students could have already accepted those. So all you need to make sure you do is you meet your deadline. If you meet your deadline, we will honor the 100% of demonstrated me. If you are a lay app again, I cannot guarantee that.
Tap is very yeah, well put.
Thank you, yes this is it's tough. It is. I get that we've had families who who don't want to send us that information until they know their students accepted.
An I get that there's a lot of information that you submit ING to us.
If you're concerned about doing something like that, my recommendation to you is you better be ready to hit submit the minute they let you know that that student is accepted, because I honestly, when we're sending out that many notifications with that much money.
If it starts getting into March and April and you've still not completed this process.
The powers that be will be looking at how much we have out on the street and I will not be able to fully fund late applicants.
Yes, I think you know. Like you already said it, but our essences you know if you're putting your your good effort forth and getting things done, then you know we're going to reciprocate in that.
So I get this is maybe more of a general advice question, but do you see any like common pitfalls or mistakes, particularly in this instance it's for international students, but when completing the CSS profile that you see students or families.
Make mistakes you see on those.
On those, I think it's very important to be clear about him. Sometimes we get information where we're dealing with the exchange rate and CSS profile. Does a pretty good job about helping us with that, but.
Use the special circumstances box there because that will allow students to give us some more information. You can clarify for us if we need to be aware of something with an exchange rate.
We won't have absolutely all of that information, so anything that you can provide to assist our team and going through those very beneficial.
And I see. So there are a couple of questions that I think we're maybe encompassed in other answers or our little personal that we can address after the fact. But I just saw two more come in.
Purity
04:55:58 PM
Thank you
See as we go. Thank you and there's one that is more so. Do you see the question I want to address that that has come in more about academic scholarships. I'm sort of like our range, so would you like to kind of spoiler alert, speak to our house?
Maisyn
04:56:23 PM
This question may be more appropriate in a different session... What are typical qualifications for academic scholarships ? Is the Sewanee Merit Award the max (26k) in academic aid?
This past year, our academic scholarships ranged anywhere from $5000 up to full tuition, fees, room and board. Now what I would tell you and I again, I'm the realist there. They're going to tell you how wonderful swannies. It's a great place. I want you to make a good decision where it's a good fit academically and financially. That's the mom and me coming out. My son will tell me I should not have said that on camera, but that's what it is.
There are approximately 4 offers for those full tuition fees. Room board scholarships each year.
The rest of the scholarships last year we had a maximum of 30,000 for the very very very very top scholars after that, and since we can only offer four, what we would call a full ride, tuition, fees, room and board.
We have a lot of great students out there.
We couldn't offer all of them those, so then we're looking at things of 3020, six, 22,000. But again, that range is literally from 5000 and the stronger the student this is what I've told people for years in doing this, swanee looks at all aspects of the application. We're not just necessarily looking at the numbers, we want to know if you're going to be a great.
Addition to our campus, what are you bringing? Are you a student who gets involved? Do you participate in things or do you just sign up for things so they're looking at the holistic picture of each and every student when they're making their decisions? Is that basically the data entry clerk even though it's automated, but they will go into some great detail in future sessions, so you need to be watching for those if you're looking for the academic scholarship information.
Maisyn
04:58:22 PM
great info thank you so so much
Echo bath to say you know. I think our approach Inox admission is we are looking for best fit students you know and so many ways of academically socially being a community member and then we take it as our responsibility. Once we found those best fit students. If you're admitted, then we're going to do everything in our power to to fully fund those students. So I think we've gotten some questions. I think that are sort of in and around how we read as far as made aware, need blind. And so I think.
You know to share a little bit Kennedy with that that we know we are reading for the best fit first in that process.
And the other thing I would add to that is.
Most specifically for students, students that are on the margin of what we would call admissibility.
That's where there's going to be. Some need aware we're being very candid here.
We do not want a student to come to Swanee and borrow that student loan. The first year may be struggling come back the next year, borrow again and find out that.
This wasn't a good fit for them. They are leaving here with the pretties.
Unfortunate GPA, they have dad and now it's going to be difficult for them to transfer. Go someplace else. So for students on the margins and they know more about what we're looking at as far as mid range for GPA test scores. Things like that or square test optional, but.
That would be where there would be some serious review of some.
Financial aspects of this picture.
Yes, we like to be very. We like to be as candidates we can in here, yeah.
I want to have those information exactly. It really do.
Natalie
05:00:45 PM
Are merit scholarships test optional too?
And So what kind of rounded out? I see a question about our merit, scholarships, test, optional two and so since humans mentioned test, optional and to plug our later session, yes you can. You're going to be fully considered for all academic or merit scholarships if you are a test optional applicant, so I don't know if you want to add anything to that, but it's pretty succinct.
Yeah exactly, I know that.

This has been very helpful; thank you!
You articulated much better than thank you, so let's see Beth mentioned next week is will be doing Aswani session pretty much every Monday from this point on into the month of November. So next week we will be doing parent and student rolls and then we'll talk a little bit about. Let's see on the 19th we will be covering into AA division through recruitment and then we'll kind of round out October by talking bout the academic scholarship process. So there's sort of a road map for the next.
Couple of Swanee sessions.

Thank you very much for this awesome session.
But you know definitely just to reiterate on that question as you think about just even applying, you know there is no negative impact in admission nor merit scholarship being if you are choosing to apply without test scores. So as you navigate the next three weeks, that's probably helpful to know sooner rather than later.
Well, if there are anything in here that we need to follow up on, we will be. And if you have questions like Beth mentioned, financial aid finaid at Swanee.
Or you can reach out to the opposite admission shower or myself or any, any any counselor that you are working with. You might be you know, working with students in your area or your particular high school. We definitely do. These serve as a resource for all of you. So thanks so much for tuning in and we will see you at 4:00 o'clock central next Monday.
